Executive Assistant

This role supports 4+ senior investment professionals in a broad set of responsibilities. Candidates must reside in Illinois, Iowa, Oklahoma, or Ohio.

In this role, you will be at the heart of everything serving as an essential partner. As a highly organized, endlessly resourceful person you will ensure that nothing falls through the cracks. Many days are fast paced, so keeping things running smoothly is key; the cost of any mistakes is high. Your role will vary day-to-day: ambiguity, changes in priorities and managing the needs of multiple senior leaders will be exciting to you.

The Executive Assistant Role is Exciting and Demanding.

You will support 4+ senior investment professionals in a broad set of responsibilities:

  • Schedules are overloaded; there’s a lot to do, and not a lot of time to do it. You will need to make sure it all works seamlessly.
  • Organize calendars and schedules to accommodate back-to-back meetings across different time zones.
  • Coordinate domestic and international travel and make sure all aspects of trips work seamlessly from start to finish.
  • Our team travels often requiring occasional personal assistant support to keep work + life running smoothly.
  • Track and submit expense reports across multiple accounts including international statements.
  • Help keep the broad range of personalities we work with every day happy and engaged.
  • While we can’t possibly cover everything (nor would you want us to as that would be too predictable), your role will encompass making our team and clients as productive and as happy as possible!

Is Five Elms right for you?

You are professional. We don’t take ourselves too seriously, but we do take our work very seriously. You know how to have lots of balls in the air that can’t be dropped. You can be trusted and handle confidential information with the utmost care.

You are unflappable. Unforeseen things happen, and always at the last minute. You should be able to pause and laugh for a brief second before quickly taking action to make problems disappear seamlessly.

You are a great communicator. You are articulate with strong writing and interpersonal skills. Presenting well and succinctly via email is key.

You are detail-oriented. There are hundreds of details to keep track of and you are always on top of it.

You are a proactive team member. This is your nature. You anticipate needs and think ahead before someone even thinks to ask. “That’s not my job” does not cross your mind.

You are resourceful. You thrive on being told something isn’t possible and then figuring out how to get it done.

We offer paid employee benefits, retirement savings and generous time off. We look forward to meeting you!
